Vendor Table Application

The vendor area is restricted to 10 x 10 area and vendors must provide their own tables, chairs and tents. Tents must be anchored if used. Vendors must collect and dispose of their own refuse. Set up window is at least 30 minutes before festival start time. Breakdown is one hour after festival end time. (TBD). We do not provide electric or water. Rain or Shine.

This agreement outlines the terms and conditions for vendor participation at the Doylestown Music Fest.

Vendor Participation Terms

1. Application & Payment

  • A non-refundable $10 application fee is required upon submission of this agreement. This fee will be deducted from the full vendor fee of $100 upon approval.

  • Vendor spaces are first come, first served and subject to approval by the Executive Committee before full payment is accepted.

  • Duplicate vendor types are not permitted to ensure a diverse mix of offerings.

2. Cancellation Policy

  • Vendors who cancel 14 days or more before the event date will be eligible for a refund of any fees paid, excluding the $10 application fee.

  • Cancellations made within 14 days of the event will result in forfeiture of all fees.

3. Weather Policy

  • The festival is a rain or shine event. Vendors should be prepared for various weather conditions including sun, rain, and wind.

  • In the event of severe or unsafe weather leading to full event cancellation, the festival will attempt to reschedule.

  • If rescheduling is not possible, partial refunds may be issued at the sole discretion of the Executive Committee.

4. Setup & Breakdown

  • Vendor setup time: 2 hours before official event time. All vendors must be fully set up before the event begins.

  • Breakdown is not permitted before official event ending time unless otherwise directed by staff.

  • Vendors are responsible for their own tables, tents, signage, and display materials unless otherwise arranged.

5. Conduct & Expectations

  • Vendors must comply with local laws and health regulations.

  • All vendors are expected to keep their area clean, professional, and engaging.

  • Respectful conduct toward attendees, staff, and other vendors is expected at all times.
